Terms & Conditions


The first-named person (The Tenant) on the booking confirmation agrees to enter into a contract with the property owner (The Owner). The Owner enters into a binding contract when the booking is confirmed. The Tenant is responsible for payment of the holiday and for ensuring that all members of their party comply with these conditions. The Tenant must be aged 18 or over when the booking is confirmed.  

 Once the requested dates are confirmed as being available they will be reserved in the applicant's name for 7 days. 



For bookings made 8 weeks or more in advance, the booking for a holiday will be effective when a deposit of at least one third of the holiday price (rounding up to the nearest pound sterling) has been received by the Owner.  Up to that time it will be a provisional booking, and provisional bookings are normally held for a maximum of 7 working days or less if within 3 months of the holiday start date. The full balance of the total holiday cost will be payable not later than 8 weeks before the holiday begins.

For bookings made for a holiday less than 8 weeks away, full payment must be made at the time of booking.


Failure to settle the outstanding balance on time will result in the holiday being cancelled. The Owner will attempt to contact The Tenant before cancelling the holiday.  


Method of Payment

Payments may be made by bank transfer, cheque, postal orders or cash. 

If paying by bank transfer, the owner will email bank account details to you or provide them by phone.

Cheques should be made payable to ‘Mr Martin Chester' and can only be accepted up to two weeks prior to the holiday (balance payments are due 8 weeks before the start of your holiday). Cheques must include the dates of letting, telephone number and the Cottage name on the reverse.

If paying by cash, this should always be sent by special delivery post. Post-dated cheques are not acceptable. Any charges raised against the Owner by their bank for handling dishonoured cheques, bank transfers or any other payment, will be passed on to the Guest who is liable to reimburse the Owner within 7 days of notification from the Owner. 

Overseas Booking Payments

Overseas Hirers may pay in Sterling drawn on a UK bank, or by international electronic transfer. Any charges for payments from overseas will be passed on to the Guest. Paypal may be available for an additional 4% fee, enquire before using Paypal.



If the tenant wishes to cancel a booking they must give the Owner notice in writing (by recorded delivery) as soon as possible. A 100% cancellation charge will be payable. On receipt of the written cancellation the Owner will endeavour to re-book the Accommodation for the holiday period and, if successful for the whole or part of the period, will refund the relevant proportion of the money paid less £40.00 to cover office administration.

If, following a booking, the full balance is not paid on time, the Owner shall notify the Tenant. If, after 30 days from the date on which full payment is due, full payment has not been received by the Owner then they may cancel the holiday booking and the above cancellation charges will apply with the Tenant remaining liable for 100% of the holiday cost.


The owner strongly advises you to take out adequate holiday insurance to cover any unforeseen problems that may occur with your booking.


Changes to a Booking

Applicants wishing to change reserved holiday dates may do so providing the property is available and the owner is in agreement. An administration fee of £20 will apply.


No Smoking Policy

We operate a strict no smoking policy in either the cottages, any outbuildings/stables or at the swimming pool area.  If there is evidence of smoking within the cottages after the Tenant has left, we retain the right to keep the full damage bond made.  



The number of people using the accommodation is restricted to the number agreed upon at the time of booking. Should the number of guests exceed the number agreed at the time of booking an additional £40 per person will be charged. If the number of people using the accommodation exceeds the number the cottage can comfortably sleep, the Owner has the right to cancel the booking without refunding payment made. Parties are not permitted in the cottages. If tenants plan on having visiting guests please inform the Owners prior to booking.



Well trained dogs are welcome at Quantock Hills Cottages with prior permission from the owners. Up to two dogs are accepted in the Gardener's Cottage but only one small dog is accepted in the Coach House. There will be an additional charge of £30 per dog for 4 - 7 days and £10 per dog for short stays (2 - 3 days).

Only well trained dogs are permitted on condition that they are not allowed on the furniture, and especially the beds, nor left unattended in the cottage. No other domestic pets can be accepted in the cottage. If damage or extra cleaning is caused by pets, the Tenant will be billed for that charge. The cottage will be inspected on the day you leave. NOTE: Any Tenant bringing a dog must read and agree to our Dog Policy before booking a cottage. We will email you the Dog Policy in PDF form. 



 Times and Duration of Letting

Tenancies commence at 3.00pm on the day of arrival to 10.00am on the day of departure. It is important that these times are adhered to so that the accommodation can be properly prepared for you and subsequent tenants. The tenant will be liable for any extra costs incurred for attempting to stay beyond the departure time. All keys are to be returned to the owner as agreed. 

A £10 charge will apply for any lost keys.

If you are wishing to arrange for grocery shopping to be delivered to your cottage prior to your arrival time, please ensure you contact us to arrange delivery times before ordering.


The Property

The description of the property is accurate at the time of booking. Minor changes to furnishings and fittings can be made without prior notice.

An information folder is provided in the property with important information about the property and local services.  The inventory included with the folder should be checked by tenants on arrival and any discrepancies reported immediately to the owner.

The holiday price will include all charges for water, gas, electricity, or oil. Visitors must comply with the instructions found in the information folder in the cottages regarding the appropriate fuel for use on open fires and the Aga within the property. Any damage caused by using inappropriate fuel will be charged to the Visitor. 


Amenities / Swimming Pool

The Tenant agrees that all members of their party will abide by the conditions of pool usage that the owners have in place at the time of their stay to meet health and safety requirements and understands that non-observance of these rules will lead to withdrawal of this facility for the whole party for the duration of their stay without compensation. Swimming Pool Rules can be found in the information pack in the cottages and it is the Tenant's responsibility that everyone has read, understands and abides by these rules.

Parents NOTE: The swimming pool and also ponds are on the estate. Children must be supervised at all times and are wholly responsible for the well being of their children, both within the cottage, and also in the gardens, at the swimming pool and in our farm setting. We would expect that for their own safety children are adequately supervised inside and outside the cottage AT ALL TIMES. 

The use of amenities provided by the owners is entirely at the users risk and no responsibility can be accepted for any injuries to persons or any loss or damage to any belongings of persons who use them.


Pony Care

For those guests wishing to own a pony for the duration/part of their stay it is compulsory that each child individually joins the Quantock School of Riding Pony Club Centre at a cost of £24.  This is a beneficial way for the security and support required when dealing with ponies as well as full personal insurance cover for each child which is valid one year and will cover the them at any pony club centre in the United Kingdom.

If you wish to ride, it is compulsory that you wear a safety hat.

Ponies are not to be galloped or used excessively and the Guest must follow the rules and guidance as set out by the owner.  


Online Shopping Deliveries

Delivery of groceries via online shopping organised by the Tenant, and agreed in advance with the owner, is applicable only prior to your initial arrival at the cottage.  The owners will ensure that all groceries delivered in this order will be put away appropriately.  Any orders booked after your arrival is to be organised at your convenience.   


Tenants' obligations

The tenants agree to:

  • take good care of the property during occupation maintaining all furniture, fixtures, fittings and effects in the same state of repair as at the commencement of the holiday;
  • use the property and its contents in a safe and appropriate manner;
  • read instruction booklets before use of appliances;
  • keep the property secure and lock (where locks exist) all windows and doors whenever the property is left unoccupied and comply with security and safety precautions;
  • not to use the property or any part of it for any of the following, nor allow anyone else to do so: activities which are dangerous, offensive, noxious, noisome, illegal or immoral, or which are or may become a nuisance or annoyance to the owner, or to the owner or occupier of any neighbouring property;
  • Not to act in any way which will or may result in the insurance of the property being void or voidable, or in the premium for the insurance being increased, nor allow anyone else to do so;
  • leave the property in the same state of cleanliness and general order in which it was found; (an additional cost will otherwise be incurred to cover the extra cleaning)
  • report any damage or breakage immediately to the owner;
  • pay the costs arising from any breakages, damage to furniture or fittings, removal of any items from the property, damage to the exterior of the property including any damage to neighbours’ property;
  • not make any noise at the property which is audible from outside it between 11pm and 7 am;
  • place refuse, surplus food and unwanted articles in bin liners inserted in the waste bins provided and to recycle where possible. 
  • To abide by the ‘no littering’ on any roadways, paths, fields or parking areas.
  • It is obligatory for dog owners to ensure that they clean up behind their dogs and that it is disposed of in the correct manner.
  • use only the designated parking space/s on the driveway/car park area;
  • not tamper with the electrical, gas, water or sewage services, pipes or equipment.
  • The lighting of fireworks is not permitted on the property at any time.


Reasonable Access

The owner retains the right to enter the property at any reasonable time for the purposes of inspection or to carry out any reasonable repair or maintenance.   The owner will always undertake to advise the Tenant of such a need as it arises prior to entering the property.


Problems or Complaints

In the event of there being any problems or deficiencies with the accommodation or contents, the matter should be reported to the owners at once. Prompt notification by the tenant is required to enable remedial action to be taken. No complaints will be accepted or correspondence entered into where complaints are made at the end of a tenancy.



The owner cannot accept any liability for:

  • any injury sustained by any person;
  • loss of, or damage, to any property brought onto the premises.  Lost property is donated to charity after one month if not retrieved. Postage must be paid up front for any goods returned by mail.
  • cars, which are parked at owner’s risk
  • disruption of service from utility suppliers
  • The owner is not responsible for any loss, breach or delay due to any cause beyond the Owner's control, including but not limited to Acts of God, Explosion, Fire, Accident, War or Threat of War, Sabotage, Civil Disturbance, Acts, Restrictions, Regulations, Bye-Laws, Prohibitions or Measures of any kind on the part of the government or local authority, Strikes or Industrial Actions and Disputes. Under any such circumstance the Owner is entitled to treat the contract as discharged, and the Owners liability is limited to the cost of the Holiday less £25 administration fee.
  • English Law applies. The contractual obligations above are subject to the jurisdiction of the courts of England, Wales, Scotland or Northern Ireland unless one of the parties is resident outside the UK, in which case English courts have jurisdiction.


Breaking the Terms and Conditions

The owner reserves the right to terminate the tenancy, without refund, if there shall be a breach of any of these conditions. This is without prejudice to any of the other rights and remedies available to the owner.


Non Availability of Property

In the event of the property becoming unavailable (e.g. through fire or other natural disaster) the tenancy is automatically cancelled or ended and the owner will refund all monies paid, or if the letting has commenced, proportionately any part of the rent for any period for which the property cannot be used.  In no event shall the liability of the owner to the tenant exceed the rental paid for the property.
